Job listings - Applicant tracking system
It's totally up to you. We will continue to send emails for applicants that you get now and you can carry on using your existing system and processes. We think you will find this helpful, save you time and always be on top of your hiring process. If our product is not working for you we’d love to hear from you via the feedback form.
This also doesn’t replace your existing ATS or other systems.
Live listing
After talking to many of you, we’ve come up with five stages that seem to work most of the time:
- New: this is where all the new/unprocessed applicants show up. On this stage, you can download their CV and/or cover letter to decide if they are suitable or not suitable. Then click on one of the relevant buttons.
- Screening: this stage may have applicants that you are phone screening to validate. Suitable applicants from here may end up in shortlist or interview stage depending on your work process.
- Shortlist: applicants in this stage may be ready for an interview or you’re still waiting for some information from them.
- Interviewing: this stage may have applicants that are going through your interview process. You may have one or more interviews with each applicant depending on your hiring process.
- Offer: this should have applicants that you want to offer or are currently offering the role to.
You will also have the ability to view ‘All’ (this has all the applicants that have applied for the job listed on Trade Me Jobs) and ‘Not Suitable’ (applicants that you have marked as not suitable).
Yes, we want to make sure job hunters receive a response to their application. By default, we will automatically notify the applicant 5 days after they are marked as ‘Not suitable’ by you.
Why are we doing this?
After talking to our job hunters we discovered a continual issue they face is not receiving a response to jobs they have applied for. For job advertisers, responding to every applicant can be very time-consuming. So we are making this change to save time and increase the application response rate.
How are ‘not suitable’ applicants notified?
Currently, they are notified by email and here is an example email.

Are there situations when applicants are not notified?
There are two cases:
- If you change your mind and move them to another stage (e.g. shortlist) within 5 days
- When applicants are moved to the ‘Not Suitable’ stage 60 days after application date.
